Questions people ask
Water hygiene systems: the questions we are asked most
Why do water hygiene companies outgrow off-the-shelf software?
Because the work is not a single visit. A site has an asset register, a risk assessment, a monitoring regime, remedial actions and a client who wants evidence that all of it happened on time.
Generic job software can schedule the visit. It rarely holds the asset history, the temperature readings and the remedial trail against the same site record, so a spreadsheet quietly appears alongside it.
Worked example (illustrative)A monthly temperature monitoring round is booked in the job app, but the readings live in a spreadsheet per site, and the client report is rebuilt by hand each quarter.
Can it hold asset registers and monitoring schedules per site?
Yes. Outlets, tanks, calorifiers, showers and TMVs sit on the site record with their own frequencies. The system generates the due work rather than relying on someone remembering the regime.
When an asset is added, removed or replaced on site, the schedule changes with it.
How are readings and remedial actions captured on site?
On the visit record itself, on a phone or tablet, with out-of-range readings flagged as they are entered so the engineer can raise a remedial action before leaving site.
Photographs, signatures and notes attach to the same record, so nothing has to be reconciled later.
See how one record replaces the handovers →Can clients get their own compliance evidence?
Yes, and it is usually the strongest commercial argument for building. A client portal or scheduled report drawn from live records means the compliance pack is never assembled by hand.
What the client can see, and how much detail, is decided during discovery.
Worked example (illustrative)A facilities client logs in and sees the current risk assessment, the last three monitoring rounds and every open remedial action across their eleven sites.
Do we have to replace our accounts or specialist tools?
No. Accounting software, email and any specialist analysis tools stay. The system connects to them and removes the manual re-keying between them.
